The HR Specialist will serve as a key support resource for day-to-day HR operations affecting our US employees and contractors. This remote role requires strong knowledge of US employment laws, HR compliance, and operational excellence. You will work closely with the Head of HR to ensure seamless HR service delivery, maintain accurate records, support recruitment activities, and provide responsive assistance to US-based employees across multiple time zones. This position demands adaptability, systems-oriented thinking, and the ability to work independently in a fast-paced, growing organization where priorities can shift quickly. HR Operations & Administration
Serve as primary HR contact for US-based employees regarding HR policies, benefits, time-off requests, and general inquiries
Support onboarding processes for US new hires, including documentation preparation, system setup, background verification coordination, and orientation scheduling
Maintain and organize employee personnel files ensuring accuracy, completeness, and compliance with US record retention requirements
Process employment verifications, reference checks, and other administrative requests in a timely manner
Assist with offboarding processes, including exit documentation, system access termination, and final pay coordination
Maintain and update HR documentation, employee handbooks, policy resources, and organizational charts
Track and manage employee time-off requests, ensuring accurate records in HRIS platforms
Time & Attendance Tracking: Employees clock in/out
Automated Calculations: Regular hours, overtime, night differentials, and holiday pay are calculated automatically based on your company rules
Leave Management: PTO and sick leaves sync with schedules, ensuring employees are paid accurately for time off
Talent Management
Performance Management System (PMS) Administration
Own and manage the end-to-end PMS cycle, including goal-setting, check-ins, mid-year reviews, and annual performance appraisals.
Design and maintain PMS frameworks, rating scales, and performance templates aligned with organizational competencies.
Configure and administer the ATS/HRIS or dedicated performance management platform (e.g., SAP SuccessFactors, Workday, Lattice, or equivalent).
Ensure data integrity and system hygiene across all performance records.
Develop user guides, FAQs, and training materials for managers and employees on PMS processes.
Goal-Setting & OKR Alignment
Facilitate the cascade of organizational objectives into individual SMART goals or OKRs at the team and employee level.
